After you have completed the initial configuration of the cloud, you can start the configuration of the cash book in the GASTROFIX app. Since this might take some time, we recommend to do this before starting a new business day or after the business day has been closed.
Here the step by step guide to the first time setup in the app:
Log in with the safe user, which has been set up in the initial setup of the cloud. You can also use a user which has the correct employee permissions, for example the owner of the business.
The cash book can be found in the Admin Area of the app:
Here you can find the “Cash Book” section in the left navigation menu. If you tap on the button, you will get to the following screen:
This is the initial screen from the cash book which allows you to select the type of transaction. But before the cash book is used, an initial setup is necessary. This consists of two parts:
Initial Cash Check
With the cash check, you need to add up all the money available in your business and create a Funds Receipt. you can start the initial cash check by tapping on the “Plus”-button next to the icon Funds Receipt.
In the following view, select the employee who performs the operation and the reason “Safe Deposit”. Select the amount you want to deposit in the safe in the following screen. You can enter the amount using the number field in the lower area. In this example we will deposit 1000 €.
You also have the option to add a comment to keep track of this action. In our example we will add the comment ”Initial Configuration - Cash Book - Safe Deposit”.
In the last step, you receive a summary of the transaction. Click on “Save” to complete the operation.
This total amount is now stored in your digital safe. If you want to replenish the cash drawers or wallets with money (for giving out change), this can be done with a “Loan”. In the following example, we are going to add some change to another POS.
Start by pressing the “Plus” button next to “Loan”.
In the following view, select the amount you want to deposit in the cash drawer. Here you can either enter the amount via the number field or via the fields for banknotes & coins.
You can then enter a comment to keep track of this operation. Again, the comment is optional. In this example it is “Loan to Cash Drawer 1 - Initial Setup”.
In the last step, you receive a summary of your operation. Now you can tap on “Save” and repeat this operation for all other cash drawers & wallets.
