PLEASE FOLLOW THE INSTRUCTIONS AND DON’T SKIP STEPS OR CHANGE THE ORDER
The only hard requirement for the outlet management is simple: an operator needs to have multiple restaurants. While it is recommended to use multiple devices, it is possible to only use one device in all outlets.
As an additional features you have to contact the GASTROFIX Sales-Team for a free consultation.
We recommend you to register all devices in your chosen “Home-Outlet” first and start the configuration afterwards. In theory this allows for a setup similar to this graphic (note that the master device needs access to all outlets):
The first step is the activation of the feature under Setup → Setup → Restaurant → Features.
After activation of the feature, you can configure your cloud and devices to be able to use the outlet management. The process can be broken down into 5 steps:
- Choose a Home-Outlet
- Register Devices - Home-Outlet
- Define Outlets for the Master Device
- Define Outlets for Slave Devices
- Finish Setup & Download Master Data
We advise you to follow these steps to ensure that every outlet has access to all features and works without a hitch.
Choose a “Home-Outlet”
In this context, “Home-Outlet” refers to the outlet where your master device will be registered initially. This is an organizational category and has no corresponding option in cloud or app. You can think of your “Home-Outlet” as the head of your operation, which controls the content and behavior of all other outlets.
First choose a “Home-Outlet” where the master device will be registered. Please be aware that this device will only be editable in this outlet, even if it was copied to any of your other outlets.
Register Devices - “Home-Outlet”
Please register all devices you want to use in all your outlets in your “Home-Outlet”. Start the registration and define which device should be used as the master device. This is an important step, as the master device acts as the origin for the access rights of your slave devices.
After you registered all devices and chosen a master, you can start the configuration of your master device.
Define Outlets for Master Device
Go to Setup → Hardware → Devices and click on Edit next to your master device (designated with a star).
At the bottom of the settings screen check all outlets which should be accessible on all devices. It is important that the master has access to all outlets - if an outlet is not selected here, it won’t be available for any other device.
Click on Save and continue with your slave devices.
Define Outlets for Slave Devices
Repeat the configuration for all your slave devices and choose the outlets they should be able to access. Go to Setup → Hardware → Devices and edit the slave devices.
In this step you can choose the access rights for different devices. With this you can restrict access of your slaves to specific parts of your restaurant. Choose only the outlets that this device should be able to access.
Example: You have a restaurant with three different outlets - dining room, terrace, and bar. You can choose that iPad 1 (Master) has access to the terrace, dining room, and bar, while iPad 2 can only access the bar and dining room.
Finish Setup & Download Outlet Data
After finishing the configuration of all devices, load the master data on the master device and give it some time until all outlets are loaded. After the master data is loaded, you can choose to load outlet data from the cloud under Admin → Business Day → Download Outlet Data. To check if everything loaded correctly logout with the current user and you should be seeing the following screen:
Here you can choose the outlet you want to login to. Select the correct outlet and enter the employee PIN. You’ll now work with the chosen outlet and you have finished the configuration of the outlet management.
Additional Information: If you activate outlet management you will be presented with a new menu entry in your app. The new option ‘Load Outlet Data’ can be found under Admin → Business Day → Load Outlet Data. This allows you to update all master data of each outlet simultaneously. The general structure of this can be seen in the following diagram:
